Job Opening: Executive Support Specialist

Location: Milwaukee, WI

Salary Range: $50,000-$60,000

The Executive Support Specialist provides administrative and operations support with a high level of professionalism to the President and CEO and the Operations Director in all aspects of their work. The responsibilities vary and include meeting coordination, event management, office management, and data management.

Responsibilities

  1. Meeting and Communications Coordination and Management
    • Manage calendars, schedule meetings, appointments, and calls
    • Draft, review, and send communications on behalf of org executives
    • Organize and prepare for internal and external meetings, including preparing meeting materials and attending to logistics
    • Screen and prioritize emails and respond when necessary
    • Prepare presentations, documents, reports, and other correspondence
  1. Data Management
    • Use email and other communications to enter and update information in Salesforce
    • Review reports and edit records for data integrity
    • Gather and organize information for basic bookkeeping
    • Maintain accurate and current electronic records
    • Regularly archive outdated information
    • Update existing documents, reports, and materials for regular use
    • Set up new files and folders each year
  1. Office Management
    • Facilitate building and utility issues and repairs
    • Receives and screens incoming calls and correspondence
    • Monitor, order, and restock supplies
  1. Other
    • Coordination of and preparation for events
    • Coordinates and supports other miscellaneous projects as needed

Education and Experience

  • Bachelor’s degree in a relevant field or equivalent work experience
  • Minimum of 2 years of work experience that is related to the role
  • Expertise in both the Google Suite and the Microsoft Suite programs
  • Salesforce experience

  • Detail-oriented, highly organized, self-motivated
  • Ability to communicate effectively and professionally
  • Ability to multitask and work efficiently in a fast-paced and evolving environment
  • Understanding of best practices as they relate to office management
  • Demonstrated ability to work independently and as part of a collaborative team
  • Proven customer service track record
